What this policy covers
This policy applies to information collected through dmatechsolutions.com, including our contact and assessment forms, guide downloads, new-client intake form, career applications, and the client portal.
It does not govern the data we handle inside a client practice under a managed services agreement. Protected health information and other practice data we access while delivering IT services are governed by your signed service agreement and Business Associate Agreement, which control over this policy in the event of any conflict.
Information you give us
We only collect what you choose to submit. Depending on the form, that may include:
- Contact and assessment requests: your name, practice name, email address, phone number, and anything you write in the message field.
- Guide and resource downloads: your name and email address.
- New client intake: business and project details, uploaded logo files, brand colors, and any file-sharing link you provide.
- Career applications: your name, contact details, the position you are applying for, and your resume if you attach one or link to it.
- Client portal accounts: your name, email address, login credentials, and the content of the service requests and support tickets you submit.
Information collected automatically
Our hosting provider records standard server logs, including IP address, browser type, pages requested, and timestamps, for security and reliability purposes.
We use cookies that are strictly necessary to operate the site: they keep you signed in to the client portal or the admin area and protect forms against abuse. We do not use advertising cookies, and we do not run third-party ad or analytics trackers on this site.
If we send you a private proposal page, opening it notifies our team that it was viewed and records limited technical details about the visit, such as the referring page, screen size, and time zone. This tells us a proposal was opened; it does not identify you personally beyond the fact that we sent the link to you.

Who we share it with

These include our website hosting and file storage provider, our database provider, our email delivery provider, our appointment scheduling provider, our managed services and ticketing platform, and the agency partner that maintains this website and our client relationship tools.
We may also disclose information where we are required to by law, or where necessary to investigate suspected fraud, a security incident, or a violation of our terms.
How long we keep it
We keep the information you submit for as long as needed to respond to your request, provide services to you, and meet our legal, tax, and recordkeeping obligations. Client portal records, service requests, and support tickets are retained for the life of the account and for a reasonable period afterward. Career application materials are retained for our internal hiring records unless you ask us to delete them.
How we protect it
We use encryption in transit, access controls, and role-based permissions to limit who inside our organization can see the information collected through this site. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take the protection of your information seriously and review our safeguards regularly.
Your choices

This website is intended for dental practices and other businesses. It is not directed to children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided us information, contact us and we will delete it.

Our site links to third-party services, including our scheduling tool and our support ticketing portal. Once you follow a link off this site, that provider’s own privacy policy governs the information you provide there. We are not responsible for the privacy practices of sites we do not operate.
